Collab Planner: NEW UPDATES, BIG IMPROVEMENTS!

Some new updates but with honestly a massive quality-of-life jump: my forever-free-to-use collab planner now supports bigger groups + shared setup links, so one person doesn’t have to do all the scheduling pain every single time. This can be a pain especially with more than 5 people (I know), so here’s to hoping I can save you some time and trouble.

When I first released the planner with my blog, I set the cap to 8 people because I thought “ok this should be enough for most collabs.”

It worked but there was one thing that was bugging me.

One person still had to set up everything manually.

That gets annoying really fast, especially once you get past 5 people and everyone is already juggling between their stream commitments and of course whtaever life may be throwing at them.

Then some VTuber friends messaged me asking if I could raise the cap from 8. One of them even asked for 20. TWENTY.

My honest reaction was basically: ok what the hell do you guys regularly have 20 person collabs? Can we do 12 for now???

So here we go!

What’s New

1. 8 participants -> 12 participants

The collab planner now supports up to 12 people per collab. Yes, it’s not 20 (yet) but way better than 8 for most groups.

2. Shared Links (the big one)

You can now create a collab planning link and just share it directly with your group.

When creating a collab, you can:

  • set a collab title
  • choose participant count
  • optionally add PIN protection

If the link ever gets passed around by accident, you can PIN protect it for a bit of extra security.

Why?

The local planner works but has a lot of friction for larger groups.

  • one person entered all setup details
  • everyone would need to wait for that one person (or do it themselves)
  • setup got more annoying as group size grew

Shared links remove that bottleneck.

Now the organizer can just pass the link to their group and (hopefully) everyone will fill it out within 48 hours (before it expires).

  • VTubers planning large multi-person collabs
  • friend groups that want to coordinate something together but have changing schedules every week
  • anyone idk i’m running out of things to say ok

Forever Free + Soft Limits

Just a reminder that this tool is meant to be free forever. So long as I can keep hosting this, it’ll be here.

I will note that there are soft usage limits to keep things healthy, but most people should never hit them.

If your use case somehow exceeds the limits and you find yourself limited, please send an email to [email protected] with details and I can review it.
